Privacy Policy & Terms

Plain-language summary. We collect the minimum we need to respond to you and to scope a potential engagement. We do not sell your data. We do not run advertising trackers on this site. If you ever want your data deleted, write to Clients@ExpenseAudit.com and we will do it within 30 days.

1. Who we are

Expense Audit is a service offered by Family Office Club, a privately held company founded in 2007 and headquartered at 111 Hekili Street, Suite A-114, Kailua, HI 96734. References to "we," "us," and "our" in this policy refer to Expense Audit and its operating parent, Family Office Club.

2. Information we collect

We only collect information you give us directly. Specifically:

  • Contact information you submit through forms or by email — typically name, company, email address, and phone number.
  • Engagement scoping inputs you enter into the savings estimator (annual vendor spend, vendor count, sector). These are processed in your browser; nothing is stored on our servers unless you submit the email form.
  • Financial documents — statements, invoices, and vendor contracts — that you voluntarily upload to a secure portal once a mutual non-disclosure agreement has been executed.
  • Basic server logs (IP address, browser type, pages visited) collected automatically by our web host for security and diagnostics. We do not use these for advertising.

3. How we use it

  • To respond to inquiries and schedule scoping calls.
  • To perform diagnostic analyses and produce written savings reports for clients who engage us.
  • To send occasional follow-ups about a written estimate you requested. We do not run general marketing email lists out of Expense Audit.
  • To meet legal and tax obligations (e.g., retaining engagement records).

4. What we will never do

  • We will never sell your information.
  • We will never share your financial documents with any third party without your explicit written consent on a per-vendor basis.
  • We will never use your client data to train an external AI model.
  • We will never publish a client name as a reference without that client's prior written approval.

5. Confidentiality of financial documents

If you proceed past a scoping call and share financial documents with us, a mutual non-disclosure agreement is executed before any document changes hands. Documents are held on a secure, access-controlled portal. Only the specialist negotiators assigned to your file and our outside counsel have access, and only for the duration of the engagement.

6. Cookies & tracking

This site uses functional cookies required for basic operation. We do not run third-party advertising trackers, retargeting pixels, or session replay tools. You can block all cookies in your browser without losing site functionality.

7. Your rights

Regardless of where you live, you can write to Clients@ExpenseAudit.com at any time and ask us to:

  • Tell you what we hold on you.
  • Correct anything that is wrong.
  • Delete everything we hold on you (subject to legal retention requirements).
  • Stop processing your information for any purpose other than meeting our legal obligations.

We will respond within 30 days. California (CCPA), EU (GDPR), and Hawaii residents have additional statutory rights, all of which we honor.

8. Data retention

Inquiry emails are retained for 24 months unless you ask us to delete them sooner. Engagement records (executed agreements, signed savings reports) are retained for seven years to meet tax and professional-services record-keeping requirements.

9. Security

We use industry-standard administrative, technical, and physical safeguards. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security, but we will notify affected parties within 72 hours of any confirmed breach.

10. Terms of use

By using this website you agree to the following:

  • Informational, not contractual. Nothing on this site, including the savings estimator and the results table, constitutes a binding offer, guarantee of savings, or professional advice. A binding engagement is created only by a signed written agreement.
  • Illustrative figures. All numbers in the diagnostic card, results table, and savings estimator are illustrative, modeled against industry benchmark data. Actual results depend on vendor stack, contract maturity, category mix, and other factors specific to your business.
  • No fiduciary relationship. Reading this site does not create a client, advisory, or fiduciary relationship between you and Expense Audit or Family Office Club.
  • Intellectual property. The site, including its copy, design, and the "Sunlight" engine name, is owned by Family Office Club. The Brandeis quotation reproduced on this site is in the public domain.
  • No warranty. The site and the estimator tool are provided "as is" without warranty of any kind.
  • Governing law. Any dispute arising from your use of this site will be governed by the laws of the State of Hawaii, without regard to conflict-of-laws principles.

11. Changes to this policy

We may update this page from time to time. The "Last updated" date at the top will always reflect the most recent revision. Material changes will be highlighted in a banner on the homepage for 30 days.
